Event Funding & Proposal Submission

The IEEE Circuits and Systems Society (CASS) Madras Section supports eligible IEEE Student Branches in conducting meaningful technical, professional, and student-focused activities. Event funding is intended to support activities that promote technical learning, innovation, student engagement, and awareness of IEEE CASS.

Who Can Apply

Eligibility Criteria

Ensure your student branch and organizing team satisfy all eligibility prerequisites before submitting a proposal.

Active Student Branch

Must be an active IEEE Student Branch operating under the IEEE Madras Section.

Active CASS Chapter

The Student Branch must have an officially established and active IEEE CASS Student Chapter.

Constituted ExCom

The CASS Student Chapter must have a properly constituted, registered, and active Executive Committee (ExCom).

IEEE Compliance

The proposed event and organizers must fully comply with all applicable IEEE and IEEE CASS policies, procedures, and standards.

What Can Be Funded

What Cannot Be Funded

The following expenses are strictly non-eligible:

Venue / Meeting Room Expenses

Hall, auditorium, classroom, or meeting room rental charges.

A/V Equipment

Projectors, microphones, speakers, sound systems, screens, lighting, and related equipment rental.

Travel & Accommodation Expenses

Transportation, airfare, local cabs, accommodation, visa applications, and other travel-related expenses.

Honorarium / Speaker Fees

Payments, honorariums, or monetary gifts to speakers, trainers, guests, or resource persons.

Mandatory Requirement

Mandatory CASS Membership Session

Every CASS-funded event must include a dedicated session on IEEE CASS Membership Benefits & Resources.

Official Agenda Rule: This session must be clearly included and scheduled in the official event agenda and promotional posters.

Funding Approval Process

Draft Proposal & Budget

Download the official Proposal and Budgeting templates. Draft your event objectives, agenda with mandatory CASS session, and itemized budget.

Submit Proposal Form

Eligible Student Branches / CASS Chapters must submit their completed proposal and budget through the official submission form.

Evaluation & Execution

ExCom evaluates proposals. Upon approval, register in IEEE vTools (Co-Host OU: CH11050), conduct the event with IEEE branding, and track eligible bills.

IEEE vTools Requirement

Mandatory pre-event registration for official credit.

All funded events must be created and registered in IEEE vTools before the event date. Organizers are responsible for ensuring that the event information is correctly entered and maintained in vTools.

How to Submit Your Final Event Report

A Final Event Report must be submitted within 30 days after the event. Failure to submit the report within the specified period may result in the withdrawal or non-release of approved funding.

All financial information and claimed expenses must strictly follow the official prescribed format:

Supporting Documentation: All claimed expenses must be supported by valid receipts, tax/GST invoices, or bank transaction proofs. Handwritten slips without vendor details cannot be reimbursed.

Submission of an event proposal does not guarantee funding. The IEEE CASS Madras Section reserves the right to determine eligible expenses and the final funding amount based on the approved proposal, actual event execution, submitted documentation, and final event report.

Organizers are responsible for ensuring that the event is conducted professionally and in accordance with all applicable IEEE and IEEE CASS guidelines, policies, procedures, and ethical standards.
